How scheduling works in the portal when the buying organisation calls a meeting or a presentation.

Not every procedure stays in writing. When the buying organisation arranges a meeting, a presentation or a site visit, scheduling runs through the portal instead of an email chain.

How it works

The buying organisation proposes slots and you reply with what suits you. If nothing fits, another round follows with new proposals. Both sides see the same state — that is the point: no more “but I wrote to you about Tuesday”.

Phone calls, video calls, on-site meetings and presentations are all catered for. Which one it is will be stated in the request.

What you should do

  • Reply quickly. A scheduling round holds up the procedure, and you are rarely the only bidder being waited on.
  • Reply honestly. A slot you accept and then move costs more than a limitation you name openly.
  • Settle who attends. If your technical specialist needs to be there, say so before the appointment is fixed.

If no appointment can be agreed

Contact the buying organisation directly. Whether a meeting is a condition of continued participation depends on the procedure and is not something the software determines — your buyer answers that, not us.

When this happens

Usually after submission, as part of the evaluation. But it can also happen earlier, at a site visit for example. So do not assume nothing more will happen once you have sent your offer — keep the contact person in your profile reachable.
